SETUP & ONGOING SUPPORT

Bridgewell sets up and manages AI phone answering for service businesses. We work through when it should answer, what it can help with, and when your team needs to take over. You review the call flow and try it yourself before it handles customer calls.

01 / CALL HANDLING

Start with the calls you need covered.

You may need help after closing, while everyone is on a job, or when the front desk is already on another call. We agree on those conditions first. Keeping your existing number depends on the forwarding options available through your phone provider, which we check during planning.

Then we build the answers from your information: services, hours, service area, and the questions customers ask. We agree on what the assistant may say about pricing and availability, and what it must leave to a person. The greeting identifies it as AI.

If a caller needs your team, we define who receives the transfer and when. If that person cannot answer, the fallback might be a callback request with the caller’s name, confirmed number, and reason for calling. Urgent requests need their own agreed handling. We do not assume a transfer means someone picked up.

02 / BOOKINGS & FOLLOW-UP

Make the next step clear.

When calendar booking is part of your setup, we check your exact scheduling system and the connection it supports before including it in a quote. Appointment types, duration, time zone, availability, and required customer details all matter. Compatibility is confirmed for your setup.

A booking should only be confirmed after the calendar accepts it. If the connection fails or there is no suitable opening, the assistant should explain that and collect a request for your team to follow up.

For calls that need a response, we plan a short summary with who called, what they need, and the next action. We agree on where it goes and who receives it. Before launch, we also agree on recording, transcription, access to call records, and how long information is kept.

03 / TESTING & SUPPORT

Try the awkward calls, too.

Before launch, we test ordinary calls and the situations that can go wrong. That includes interrupted answers, corrected phone numbers, unsupported requests, unanswered transfers, and failed bookings where booking is included. You can call it yourself and review the wording with us.

Ongoing support covers the changes agreed in your plan. New hours, different services, and recurring caller questions can mean the call flow needs updating. We work through those changes with you and check affected paths. The examples on our homepage are illustrations, not recordings from an installed customer system.

04 / SCOPE & COST

Know what you’re agreeing to.

Your quote separates setup, ongoing service, and usage. It states the call coverage, included integrations, usage allowance, extra usage rates, and support. We agree on the scope before work begins.

For the first conversation, it helps to bring:

  • Your business hours and when calls tend to go unanswered.
  • A few common caller requests and any that must reach a person.
  • Your phone provider and any calendar or customer tools you use.
  • A rough idea of call volume, if you have it.
